Overview
At Will Luker's Training Academy, we understand that plans can change. This policy outlines our procedures for class cancellations, refunds, transfers, and rescheduling.
Student-Initiated Cancellations
Full Refund (100%)
You are eligible for a full refund if you cancel:
- More than 14 days before the scheduled class date
- Due to a medical emergency (with documentation)
- Due to documented military deployment
- If we cancel the class for any reason
Refund Processing: 5-7 business days to your original payment method
Partial Refund (50%)
You are eligible for a 50% refund if you cancel:
- Between 7-14 days before the scheduled class date
Refund Processing: 5-7 business days to your original payment method
No Refund
No refund is provided if you cancel:
- Less than 7 days before the scheduled class date
- After class has started
- Due to voluntary no-show
- After violating class policies (disqualification)
Exception: You may transfer your registration to another date (see Transfer Policy below)
Rescheduling and Transfers
Free Transfer
You may transfer your registration to a different class date one time at no charge if:
- You notify us at least 48 hours before the scheduled class
- You transfer to a class within 6 months of your original date
- The new class is the same course type
- Space is available in the new class
Transfer Limitations
- Only one free transfer permitted per booking
- Additional transfers may incur a $25 rescheduling fee
- Transfers to a higher-priced class require payment of the difference
- Transfers to a lower-priced class do not receive a refund of the difference
- You must complete the class within 12 months of original booking date

Instructor-Initiated Cancellations
Weather-Related Cancellations
If we cancel due to severe weather or unsafe conditions:
- You will receive full refund or
- Free transfer to the next available class date
- We will notify you as soon as possible (typically 24 hours before class)
Instructor Illness or Emergency
If the instructor is unable to teach due to illness or emergency:
- You will receive full refund or
- Free transfer to the rescheduled class date
- We will notify you immediately
Insufficient Enrollment
If a class is cancelled due to insufficient enrollment:
- You will receive full refund or
- Free transfer to another class date
- We will notify you at least 7 days before the scheduled class
Your Choice
For any instructor-initiated cancellation, you choose:
- Full refund to your original payment method, or
- Credit for the full amount toward a future class
No-Show Policy
Student No-Show
If you fail to attend your scheduled class without prior cancellation:
- No refund will be provided
- You may transfer to another date for a $50 rescheduling fee (if requested within 48 hours)
- After 48 hours, the full class fee is forfeited
Late Arrival
If you arrive late:
- 15 minutes late: May join class (instructor's discretion)
- More than 30 minutes late: May not be admitted
- No refund for late arrivals who are not admitted
- Partial completion does not qualify for certificate issuance
Partial Completion
Early Departure
If you leave class before completion:
- No refund for early departure
- No certificate issued for incomplete training
- May be able to attend a future class to complete requirements (instructor's discretion)
Medical Emergency
If you must leave due to medical emergency:
- Provide documentation within 7 days
- Free transfer to complete the training on another date
Deposits
Some courses may require a deposit:
- Deposit Amount: Clearly stated at time of booking
- Deposit Refund: Subject to the same cancellation timeline above
- Balance Due: Typically due 7 days before class date
- Failure to Pay Balance: Deposit forfeited, spot released
Special Circumstances
Military Deployment
Active military personnel called to duty:
- Full refund with copy of orders
- Indefinite transfer option (no expiration)
Death in Family
In case of immediate family member death:
- Full refund with documentation
- Free transfer to any future date
Jury Duty
If summoned for jury duty on your class date:
- Free transfer with copy of jury summons
- Transfer to any available date
COVID-19 or Illness
If you test positive for COVID-19 or have contagious illness:
- Free transfer with documentation
- Please do not attend class if you have symptoms
Processing Refunds
Timeline
- Refunds are processed within 5-7 business days of approval
- Refunds are issued to the original payment method
- Credit card refunds may take an additional 3-5 business days to appear
Refund Amounts
Refunds are calculated based on:
- Amount paid (minus any applicable fees)
- Cancellation timeline (see above)
- Whether deposit or full payment
Non-Refundable Fees
The following fees are non-refundable:
- Background check fees (if already processed)
- State application fees (if already submitted)
- Third-party processing fees
- Materials fees (if materials already provided)
Group Bookings
Group Cancellation Policy
For groups of 5 or more:
- 30 days notice: Full refund
- 14-29 days notice: 50% refund
- Less than 14 days: No refund, but may reschedule
Individual Group Member Cancellations
- Individual members may cancel per the standard policy above
- Group discount may be adjusted if group size drops below minimum
Private Lessons
Private one-on-one or small group lessons:
- 7 days notice: Full refund or free reschedule
- 48 hours - 7 days notice: 50% refund or free reschedule
- Less than 48 hours: No refund, $50 rescheduling fee
Payment Disputes and Chargebacks
Dispute Resolution
Before initiating a chargeback:

- We will work with you to resolve any concerns
- Most issues can be resolved quickly and amicably
Chargeback Policy
If you initiate a chargeback:
- We will provide documentation of our cancellation policy
- Illegitimate chargebacks may result in:
- Ineligibility for future classes
- Legal action to recover costs
- Reporting to fraud prevention agencies

Required Information
Please provide:
- Your full name
- Booking confirmation number or email
- Class date and name
- Reason for cancellation (if requesting exception)
- Preferred refund method (refund or transfer)
Response Time
We will respond to cancellation requests within:
- 24 hours for requests more than 7 days before class
- 4 hours for requests within 7 days of class
- Immediately for same-day requests (call for fastest response)

Policy Changes
We reserve the right to modify this Refund Policy at any time. Changes will:
- Be posted on our website
- Apply to bookings made after the change date
- Not affect existing bookings unless required by law
State Law Compliance
This Refund Policy complies with your state consumer protection laws and may provide more generous terms than required by law.
